Business Setup

CRM / Database

Pick a CRM, import your contacts, and set up the pipeline that will pay you for the next 20 years.

Your Database Is Your Business

The single biggest predictor of long-term real estate income is the size and engagement of your database. A 200-person engaged database will generate 20–40 transactions per year on autopilot.

Choosing a CRM

  • Follow Up Boss — best all-around for individual agents and small teams.
  • Brivity — all-in-one CRM + IDX + transaction management; great for teams that want lead-to-close in one platform.
  • BoldTrail (formerly kvCORE) — strong if your brokerage provides it; great IDX integration.
  • Sierra Interactive — powerful automation, steeper learning curve.
  • Wise Agent / LionDesk — budget-friendly options with the basics.

Initial Setup

  • Import every phone contact, email contact, and social connection.
  • Tag contacts: Sphere, Past Client, Lead (Hot/Warm/Cold), Vendor.
  • Set up smart lists for each tag.
  • Build a 36-touch annual plan for Sphere and Past Clients.
  • Connect your email so every conversation is logged automatically.

Action Items

  1. Pick one CRM by Friday and commit for 12 months.
  2. Import all contacts within 7 days of signing up.
  3. Tag 100 contacts a day until your database is fully categorized.
